JOB FUNCTION: PURCHASING AND SOURCING ASSISTANT
LOCATION: SHENZHEN
EXPERIENCE: 1-2 years is better
JOB DESCRIPTION / KEY TASKS:
ADMINISTRATION:
- Organise and control the Manager’s visits, travels.
- mails, notes, reports concerning :
- visits to suppliers,
- market analysis,
- internal procedures
- Files all documents, according to ISO procedure
- Daily use of Word, Excel, Business Object, outlook and our IT system on windows environment
- Dealing with China Telecom, Management office, Tax controllers, buying office furniture, bank, CPA, filling in the monthly expenses report …
PURCHASE
- Control the orders received from UPERGY France, send the orders to our suppliers, acknowledge receipt of PI, confirm the order in our IT system and fill in the logistics’ file.
- Follows up the order administration (contacts with Planning Department, Accountancy, Transport Department, modifications of information relative to the order, controls the payment terms).
- In case of claim, registers it and transmits all relevant information together with samples to the Product Manager inFrance.
- Send UPERGY France the answers from the factory and do the necessary to close the claim (return of goods, credit note).
- Follow up the payments and contact suppliers.
- On request of the managers, she will do some quality controls, or organise quality controls with specialized companies or independent QC controllers
SOURCING
- Assist the Manager for prospecting new suppliers inChinaand Asia, and follow up all operations with regards to suppliers and market.
- Launch and follow up with the Manager requests on prices for new range of items, renegotiate the price for current orders
- Have daily contacts with UPERGY France for specific demands: new products, quality problems….
- Create technical data sheets for new items
- Find the appropriate fairs on our markets and go there to source some suppliers or new items.
PREREQUISITES:
- Languages – speak and write good English (CET 4 At least)
- Previous experience as a purchasing and sourcing assistant is required
- Experience within a European company or with European staff would be an edge
- Dynamic, motivated,easy to work with good personality, stable, very well organized and able to handle his work properly and do it as fast as possible.
